- Unpack all items carefully, and inspect them for damage, checking each item off the packing list as you go. The packing list is usually attached to the outside of the box or loose inside the box. If the contents are damaged, notify your supervisor immediately.
- Mark the packing slip “Received [date] [your initials]” and deliver it to the Studio Director. We must have some form of documentation, so if there is no packing slip, cut off the part of the package with teh shipping label and deliver that.
- Connect and briefly test each device for basic functionality. Ask your supervisor if you are unsure what a satisfactory test would be.
- Break down shipping boxes and place by a hallway trash bin. Carry large items to a nearby dumpster (e.g., behind Bolton). NOTE: If the box is in a size, shape, and condition that will be useful in the move to LAAH, save them. Also save reusable packing materials except anything messy like styrofoam peanuts.
- Store the manufacturer packaging on top of the bookshelves in the lab lobby 404 ACAD, and attach a note saying “Discard after” and the date one year after the current date. In the case of multiple identical items, keep only one package. (The purpose of this is in case an item needs to be shipped for warranty repair.) Use this opportunity to discard any stored boxes that are already one year old.
- Register the product using the manufacturer’s registration card or website, if applicable. Use the contact information listed here.
- Enter any serial numbers or license codes into the database (in PerfTech’s electronic documents) and file any hard copies. In the database, give each item a unique ID number starting with two digits for the year and followed by three digits that follow the previous entries in sequence (e.g., the first items purchased in 2012 should be numbered 12001, 12002, 12003, etc.).
- Carefully and neatly engrave “TAMU PERF” on the item followed by its five-digits PerfTech ID number. Do this on a (preferably metal) surface that is hard to remove or break off and is out of the way during normal use (avoid the front panel). Double check the PerfTech ID number before engraving it!
- Check the PerfTech knowledge base to see if an equipment page has been created for it yet. Create one if needed. Ask for help if you’re not sure how to categorize the page or what text to add.
- If the equipment page already exists, check to confirm that manufacturer documentation was properly uploaded to the page. If not, look for a copy of the manual on the internet.
- If you find one, download it, rename it in the form Manufacturer-Model.pdf , store it in the PerfTech electronic documents, and discard the hard copy manual unless it will be needed for installation.
- If you do not find one, scan the manual on the PERF office copier and keep the original manual until you’re sure the PDF is properly named and uploaded (and the equipment page published).
- If applicable, download the latest driver installers, store them with the PerfTech electronic documents, and file the original install discs in the server room.
- Install the device or software and make arrangements to secure it as necessary.
- For TAMU-inventory-tracked items (usually equipment over $500), an inventory sticker will come through campus mail (this may be weeks after receiving the item). Affix it to the device in a place that it can be read after installation without much trouble but also out of the way of frequent wear or potential damage. Have a full time staff member sign the record accompanying the sticker, record the AMU number in the appropriate database, and return the record to the department office.
